What data we collect
- Identity & contact: full name, email address, phone number
- Status: student (yes/no), matriculation number (if student)
- Consents: data processing consent, media (photo/video) consent
- Payment details (no card data): chosen method (cash collection days or bank transfer), amount, bank reference we generate, payment status
Why we process your data (legal bases)
- Contract (Art. 6(1)(b) GDPR): to register you for the event and manage attendance.
- Consent (Art. 6(1)(a) GDPR): media (photo/video) consent; email updates if you opt in via the form.
- Legitimate interests (Art. 6(1)(f) GDPR): event safety, fraud prevention, and basic analytics (attendance counts).
How we use & share data
- We use your details to confirm registration, reconcile payments (bank reference), and communicate event updates.
- Processors: our web hosting & email services (Hostinger). If we add an online payment provider later (e.g., Stripe/PayPal), they will process payments on our behalf; we will update this policy accordingly.
- We do not sell your data.
Retention
Registration data is kept until the event concludes and for up to 12 months for administrative follow-up. Payment records may be retained longer where required by applicable tax/accounting law (up to 10 years in Germany).
Where data is processed
We aim to process and store data in the EU/EEA. If any processor stores/handles data outside the EEA, transfers are protected by appropriate safeguards (e.g., EU Standard Contractual Clauses).
Your rights
Under GDPR you may request access, rectification, erasure, restriction, portability, or object to processing. You can also withdraw consent at any time (this won’t affect processing before withdrawal). To exercise rights, email info@ichs.club. You may also lodge a complaint with your local supervisory authority.
Event photos & videos
We may capture photos/videos at the event for non-commercial ICHS communications (website, social media). We request your explicit consent during registration.
